The Role
We are delighted to announce an exceptional opportunity for an enthusiastic experienced medical receptionist to join our esteemed team. This will be a permanent part-time position, working a minimum of 20 hours per fortnight (negotiable), to a maximum of 76 hours per fortnight (covering sick and holiday leave). Must be available to work occasional Saturdays (approx. 1 every 6-8 weeks). We are looking for a dedicated team player who thrives in a collaborative environment and is committed to upholding the core values and vision of our leadership.
The Impact You Will Have
This position is far more than managing calls or scheduling appointments. You will:
· Welcome each patient with genuine empathy, kindness, and care, treating them like family.
· Support our clinical team by ensuring smooth operations of appointments, records, and administrative tasks.
· Provide clarity for patients, helping them understand what to expect and ensuring their visit is organised and stress-free.
· Build strong relationships with referrers and providers through timely and professional communication.
· Contribute ideas to improve our processes or finding new ways to show patients their importance.
A Typical Day
· Greeting and checking in patients, ensuring their comfort from the first moment.
· Handling phone and online enquiries with warmth and clarity.
· Coordinating appointments, patient records, and scanning reports with precision and care.
· Assisting with Medicare and private billing processes.
· Communicating with referring doctors and healthcare providers to ensure seamless care.
· Managing the daily flow of clinics.
What You Will Bring
· Previous experience in medical reception and customer service.
· A naturally warm, bubbly and professional demeanour, both in person and on the phone.
· Strong organisational and time-management skills, thriving on keeping things running smoothly.
· Attention to detail and proficiency with software systems (experience with Genie/Gentu and Microsoft Office, a bonus).
· Exceptional communication skills, both written and verbal, and strong interpersonal skills.
· Possession of intermediate to advanced knowledge of medical terminology.
· A patient-first mindset, always considering how to make one's healthcare experience better, easier, and less stressful.
